How to write an out of office message

What goes in one

  1. The date you’re back. Every sender wants that first.
  2. Who can help meanwhile. A name, and their email if the sender is outside your company.
  3. If you’re reading email. Say no, or say when.

That’s the whole message. A reason is optional, and an apology is never needed. Leave out your phone number unless you want the calls.

Most messages say less than the sender means. On their last out of office, only 29% of professionals clearly said they wouldn’t check email. 20% wrote something vague like “limited access”, 14% said they’d check now and then, and 26% didn’t set one at all.

A last-day message works the same way, with a contact in place of a return date. The leaving card going round that week needs a farewell message of its own.

What the message says about you

47% of UK office workers say their out of office shows their personality more honestly than their everyday email. A third judge colleagues by theirs, and among managers it’s 52%. 68% open with “Thanks for your email”, and 21% try a joke.

Outlook and Teams let you write one message for people inside your company and another for everyone else. Keep the outside one plain, because a client will read it. Save the funny one for people who already know your sense of humor. A voicemail greeting that says the same thing covers the people who ring instead.

Out of office on vacation and days off

Who checks email on vacation

Your OOO says you’re away, and the boss’s email gets opened anyway. 86% of employed Americans say they’d check one on PTO, and 56% have taken work calls on time off. For work email in general, 49% of full-time workers check it on PTO and 42% answer it, which tells the sender the auto-reply was bluffing.

How many people switch off depends on who’s asking. Ask one group and 58% say they fully disconnected on their last vacation. Ask workers in the US and Europe and only 29% say so. 38% have checked work email in bed next to a partner, 30% while driving and 24% at a wedding.

Out of office on days off

The auto-reply isn’t only for vacations. In jobs where days off get called in, “out of town” becomes the reason for every one of them. It takes the least effort of any of the excuses to get out of work, and nobody asks which town.

Out of office messages that made the news

The out of office with a video attached

In July 2024, Gen Z marketer Joshua Kessel set an auto-reply telling colleagues to “refer to attached video”. The clip opened with him “probably on a plane to Europe right now” and went on to give snarky answers to frequently asked questions. His TikTok of it passed 3.2 million views.

The CEO soaking up the rain

In July 2026 a CEO’s auto-reply from Ireland did the rounds. It promised a few weeks “soaking up the rain”, time with family, and email once a day, usually over the first pint of the day. An employee posted it on Threads. One commenter’s colleague had gone further, with an out of office about becoming “a semi-professional fence builder”.

The auto-replies someone else wrote

During the October 2025 government shutdown, furloughed staff at the US Education Department found that someone had edited their out of office. It now blamed Senate Democrats for the lapse in funding. “Those were not my words,” one employee said, and the department’s spokesperson answered “Where’s the lie?”. At an HHS office, leaders told furloughed staff an out of office was “required”, and supplied the wording.

How to set an out of office

Set an out of office in Outlook

  • New Outlook for Windows: View, View settings, Accounts, then Automatic Replies. Turn the toggle on, set a time period if you want it to stop on its own, and Save.
  • Outlook on the web: Settings, Account, then Automatic replies, the same switch and the same Save.
  • Classic Outlook: File, then Automatic Replies. Work accounts get one message for inside your organization and one for outside it.
  • Outlook for Mac: the Tools menu, then Automatic Replies, with the same two messages.
  • The Outlook phone app: Settings, your account, then Automatic Replies. It can also block your calendar and decline meetings in that time.

Each sender gets the reply once. Replying outside your organization reaches newsletters and ads too, so contacts only is the safer setting. Automatic replies don’t work for Gmail, Yahoo or other POP and IMAP accounts added to Outlook.

Set a vacation responder in Gmail

Gmail calls it a vacation responder. On a computer, open Settings, then See all settings, and on the General tab turn on Vacation responder. Set the first and last day, a subject and the message, tick the box if only your contacts should get it, and click Save Changes. In the phone app it’s Settings, your account, then Vacation responder.

It runs from 12:00 am on the first day to 11:59 pm on the last. Most people get it only for their first email, but the same person gets it again after four days, or after you edit the message. Spam and mailing lists get nothing.

Schedule an out of office in Teams

Select your profile picture, then Set status message, then Schedule out of office. Turn on automatic replies, type the message, tick the outside-your-organization box if clients should get it, set the dates and Save. The same screen is under Settings, General, Out of office. Teams needs a message before it will set the status.

Teams and Outlook keep one setting between them, so a change in either app shows up in the other. Check messages from the beach and your live status appears beside the out of office marker, which tells everyone you’re on leave and reading. For the week, you can give up trying to keep Teams active.

What should an out of office message say?

The date you're back, who can help in the meantime, and if you're reading email at all. A reason is optional, and most professional ones leave it out.
