How to write a leaving card message
What goes in a leaving card
A leaving card message has four parts, and two sentences hold all of them. Their name, one specific thing they did, a wish for what comes next, and your name where they can read it.
Specific beats long. “Thanks for every save in the client calls” says more than a paragraph about how great they are, because only one person made those saves. If nothing specific comes to mind, thank them for something the whole team got from them, such as the notes from every meeting.
When you barely know them
Most people who sign a leaving card worked with the leaver once, or never. Write something small and true: their updates were short, they always held the elevator, people speak well of them. Add your team after your name so they can place you.
Skip inside jokes you weren’t part of. A card full of strangers’ good wishes is still a nice thing to take home.
Funny or heartfelt
Funny works when the two of you already joke at work, and it lands best on the job itself: the printer, the meetings, the coffee. Never joke about why they’re leaving, the company they’re going to, or anyone who was let go. When in doubt, write a heartfelt line and let the card’s front do the joking.
For the leaving drinks, a printed office award with their name on it gets a laugh, and unlike the cake it goes home with them. Their last afternoon is also the traditional slot for a harmless office prank, as long as it comes off before they hand in the badge.
Bosses, retirement and work anniversaries
A boss who’s leaving
Thank them for something they did for you in particular: the one-to-ones they kept, the leave they signed off without questions, the meeting they took so you didn’t have to. Keep it about the work.
If there’s a collection, give what you’d give anyone, or sign and give nothing. 55% of US hiring managers say staff feel compelled to buy gifts for managers and supervisors, and 46% of job seekers feel pushed to spend a set amount. A signed card is enough.
Retirement messages
A retirement card covers a whole career, so thank them for what they taught people and wish them something specific: slow mornings, the trip they keep mentioning, no alarm clock. Jokes about the pension, the garden center and the group chat are fair. Jokes about age are not.
If they’re counting the days, the retirement countdown does it to the minute.
Work anniversary messages
Half of US workers have been with their employer 4.1 years or less, and 20.6% have been there a year or under. A fifth or tenth anniversary is rarer than it feels, and worth a card. Half of hiring managers say their company marks work anniversaries, which leaves the other half to whoever remembers.
Name the number of years and thank them for one thing from this year. A cupcake helps. A meeting about next year’s goals, booked for the same afternoon, does not.
Your own goodbye email
What to put in it
Send it on your last afternoon, the end of your notice period, after your manager and team have heard it from you first. Four things do it: your last day, thanks, who looks after your work from tomorrow, and a personal email if you want to keep in touch. Leave out why you’re going.
Set an out of office message that names the same contact, and pick an email sign-off that suits a last email: warm, plain, and not “per my last email”.
All the best is the natural close, good luck and goodbye in three words.

Your team and the people you worked with most, by name. For a long list, put everyone in bcc, so nobody can reply to all.
