A subject matter expert knows one area better than anyone else in the room, and the room knows it. The dictionary version is someone with specialised knowledge of a particular area of work. That area can be narrow: the billing system, one big client, the payroll calendar, the reason the warehouse labels print sideways.

On a project, SME is a role more than a job title. The SME answers questions and checks drafts against the facts. Somebody else runs the project and writes the document. In training teams, the course writer brings the structure and the SME brings the content.

The SME’s holiday is a risk nobody planned for. Their out-of-office message names a colleague, the colleague forwards everything back, and the SME returns to a two-week pile. Teams like to ask what happens if the SME wins the lottery. The honest answer is a month of guessing and the wiki page nobody wrote.
