What OOO means at work

Away, and saying so

OOO is short for out of office. It tells people you’re away from work and not reading messages: on vacation, off sick, at a conference, or out for the afternoon. People write it in a status, on a calendar block or in a subject line, as in “OOO Friday”.

The word also names the message. “I’ve put my OOO on” means the automatic reply is set, so anyone who emails you hears that you’re gone. The abbreviation was first recorded between 2000 and 2005, which makes it younger than most of the inboxes it answers from.

OOO for a single day

A one-day OOO with no reason given is how most sick days, dentist mornings and moving days look from the outside. That’s the point of it. “OOO today, back tomorrow” tells colleagues everything they need and nothing they’d ask about. If you do need a reason for the manager, the excuses to call in sick are sorted by how many questions they invite.

OOO, OOTO and their neighbours

OOTO, out of the office, is the longer version, used mostly in chat and texts. Both are about presence. WFH says where you’re working, and OOO says you aren’t. PTO is usually why: the paid days the OOO is spending. On unlimited PTO, with no balance to count down, the OOO is often the only record that the days were taken.

They are the away words of corporate jargon, and each one meets a deadline sooner or later. An EOY promise made in November tends to meet an OOO in December.

What a good OOO says

A useful auto-reply gives three facts: the day you’re back, whether you’ll read email, and who can help in the meantime. Everything else is decoration. For decoration with a pulse, there are the funny out-of-office messages, from client-safe to unhinged.

In Microsoft Teams, setting automatic replies turns your status to Out of Office for the whole period. So does any calendar event shown as Out of Office. Use Teams during that time and it shows your usual status alongside the Out of Office flag.

So a colleague can see that you’re on vacation and available at once. It’s the most honest thing Teams says all year.

The OOO calendar block

On a shared calendar, an OOO block does more than a Busy one. Busy says you’re in a meeting and might move it. OOO says the whole day is gone, and most people stop trying to book over it.

That makes the OOO block a favourite for things that aren’t vacations: a long dentist visit, a school play, a morning with no meetings. Some calendars hold an all-day OOO on a Friday every few weeks. Nobody asks where.

The OOO that answers anyway

An out-of-office is a promise not to answer, and plenty of people break it. Nearly half of US full-time workers check work email while on leave, and 42% send replies. The auto-reply says one thing and the sent folder says another.

The reverse happens too. Close to 1 in 5 US workers took a vacation in the past year without using leave or telling their manager. They averaged four trips. Separately, 37% of millennials took time off without letting their manager know. Those days have no OOO at all, only a green dot and a laptop in a rental.

The last day before the OOO

The day before leave is the most productive day of the year. Every email you ignored for a month gets an answer, and the handover document gets written at 6 pm. Three people book a quick sync because they just saw your calendar. At 6:40 the auto-reply goes on. At 6:45 someone replies to it with one more question.

When an OOO goes wrong

The classic mistakes are dates and audiences. An auto-reply with last month’s return date tells every client you never came back. One set to answer everyone outside the company also answers newsletters, ads and junk mail, telling each of them exactly how long you’re away.

Before you leave, send yourself an email from a personal account. If the reply looks right to a stranger, it’s ready.
